This policy explains how Visual Punch (“we”, “us”, “our”) collects, uses and protects your personal data when you visit this website, make an enquiry, or work with us on a video project. Visual Punch is a trading name operated by James, a sole trader based in the North East of England, contactable at hello@visualpunch.co.uk or 0191 3800 180. We’re the “data controller” for the personal data described in this policy.
What Personal Data We Collect
We collect personal data in a few ways:
- When you contact us or request a quote: your name, email address, phone number, and any details you share about your project, via our contact form, booking forms, email or phone.
- When you book or work with us: billing details, project correspondence, and any content (footage, images, voice) captured during filming, where you or your staff, customers or members of the public appear on camera as part of an agreed project.
- When you browse this website: technical data such as your IP address, browser type, pages visited and how you found the site, collected automatically via cookies and analytics tools (see below).
How We Use Your Data
- To respond to your enquiry and provide a quote.
- To deliver, invoice and manage a booked project.
- To keep in touch about your project, including scheduling filming days.
- With your consent, to send occasional updates or marketing about our services. You can unsubscribe at any time.
- To understand how visitors use this website, so we can improve it.
- To meet our legal and accounting obligations.
Our legal basis for processing this data is either that it’s necessary to perform a contract with you (or take steps towards one), that we have your consent (for marketing), that we have a legitimate business interest in doing so (such as responding to enquiries or improving our website), or that we’re required to by law.
Video, Photo & Case Study Content
If we film for you, footage may include images, voice and likeness of people appearing on camera. What we can film, and how the finished content can be used (including in our own portfolio, case studies and marketing), is agreed with you as part of your project. See our Terms & Conditions for how this works. If you’d rather a finished project, testimonial or case study wasn’t featured on our website, just let us know and we’ll remove it.
Cookies & Analytics
Like most websites, we use cookies and similar tools to make the site work properly and to understand how it’s used, including tools such as Google Analytics. You can control or disable cookies through your browser settings, though some parts of the site may not work as well if you do.
Who We Share Your Data With
We don’t sell your data. We share it only with trusted service providers who help us run our business, including our CRM and enquiry management system, email provider, video hosting platforms (such as YouTube or Vimeo), accounting software, and website hosting provider. These providers only use your data to help us deliver our service, under their own privacy and security obligations. Some of these providers may be based outside the UK, in which case we make sure appropriate safeguards are in place. We may also share data where we’re legally required to.
How Long We Keep Your Data
We keep enquiry and project data for as long as needed to deliver our services and meet our legal and accounting obligations (typically up to 6 years for financial records), and we’ll delete or anonymise it when it’s no longer needed. If you ask us to delete your data sooner and we have no legal reason to keep it, we will.
Keeping Your Data Secure
We take reasonable technical and organisational steps to protect your personal data against loss, misuse or unauthorised access, including using reputable, secure third-party providers for hosting, email and payment.
Your Rights
Under UK GDPR, you have the right to:
- Ask what personal data we hold about you, and get a copy of it.
- Ask us to correct inaccurate data.
- Ask us to delete your data, where there’s no legal reason for us to keep it.
- Ask us to restrict or object to certain processing.
- Ask for your data in a portable format.
- Withdraw consent for marketing at any time.
To use any of these rights, email hello@visualpunch.co.uk. If you’re unhappy with how we’ve handled your data, you can also complain to the UK’s Information Commissioner’s Office (ICO) at ico.org.uk.
Children
This website and our services are aimed at businesses, not children, and we don’t knowingly collect personal data from children.

We may update this policy from time to time to reflect changes in our practices or the law. Any updates will be posted on this page.
